Seafarer categories: The new Seafarer categories page in Settings turns on the automatic move of seafarers from the Personnel pool to the Seafarer pool. When it is on, a seafarer moves to the Seafarer pool when the last contract with your company ended earlier than the set period (from 1 to 24 months). The system checks seafarers every day and right after you delete a contract with your company. Seafarers who were moved do not return when you turn the setting off.
Seafarer categories: The Personnel pool includes seafarers with a contract from your company, and the Online applicants list includes only new applicants who are not verified. A seafarer who changes the Online Application Form after verification stays in the same category. The category filters in the Seafarers list, Planning, Vacancies, Company statistic, and the expiring documents notification use the same categories.
User Activities: The new Source column shows where a change was made: CRM for changes made by users, or Scheduler for automatic changes. Automatic moves to the Seafarer pool show the CategoryDowngrade action. The user name of each change is kept even when the user is deleted later.
Document reminders: Crewvector can email seafarers in the Personnel pool about their documents that expire soon, about 3 months, 1 month, and 2 weeks before the expiry date. One email lists all due documents, and a seafarer receives no more than one reminder email a week. The email has a button that signs the seafarer in to the Online Application Form to upload new copies; replies go to your company support email. Turn on Reminders to seafarers about expiring documents in the new Seafarers section of Settings → Notifications; it is off by default. Company Matrix: On the Document Requirements tab, a bell to the left of each document name turns reminders to seafarers on or off for this document. The bell of a group row switches all documents of the group, and a legend above the table shows the bell states. The bell is on by default and is inactive when the row has no checked ranks. See more…
Seafarer Profile: The Documents section shows the date of the last reminder about expiring documents above the document list. See more…
Online Application Form: Sign-in links are valid for a few days and can be used several times. When a link expired recently, the seafarer clicks Get a new link to receive a new link at the email address in the profile. Clear screens explain a damaged link, a link that is too old, and closed access, with the company email for contact. See more…
Online Application Form: The Unsubscribe link in a reminder email opens a page where the seafarer confirms the unsubscribe. The seafarer does not need to sign in. See more…
User Activities: Reminders to seafarers show the DocumentReminderSent action with the Scheduler source. When a seafarer unsubscribes, User Activities shows the MailingOptOut action with the new OnlineForm source. See more…
Seafarer Profile: Fixed the seafarer status shown right after you plan a vessel from the profile. The profile shows the planning status, for example Planned, instead of Unavailable.

Reports: The new Pre-Joining List shows all seafarers who are Planned or Joining for your vessels, one row per assignment: rank, nationality, manager in charge, vessel, status, planned sign-on date, problem documents, checklist progress, and the latest note made since the seafarer was assigned. Filter by vessel, status, manager, and rank. Click the Docs badge to see the problem documents, or the checklist badge to update the checklist. Standby Crew Report: The new Days at home column shows the number of days since the last sign-off. The new Documents column shows the seafarer's document status for the next contract (Critical, At risk, or OK) by the Company Matrix and, when a next vessel is planned, the vessel requirements; hover over the badge to see the check period and the problem documents. Both columns are sortable. New filters: Last contract rank, Nationality, and Only unplanned; the export uses them too. Pre-Joining: The new History button opens the Sign-off history of the selected vessel: seafarers signed off in the last 30 days, with the sign-off date, the user, and the reason. Click Restore to return a seafarer signed off by mistake to On board, for example after a contract extension. A comment is required, the seafarer's planning history shows a Restore entry, and users with planning notifications receive a notification. See more…
Company statistic: The Nationalities and Age groups charts have new Category and Status filters. Select a seafarer category (All, Online applicants, Seafarer pool, or Personnel pool) and one or more statuses (Planned, Joining, On board), for example to see the nationalities of the crew on board. Vacancies: Candidate scores are out of 100 points, and experience on the vacancy's vessel type is the main factor. Engine type and DWT are optional and copied from the selected vessel (clear them to give no points for that factor), and vessel type experience is the first line of each candidate card, shown in red when the seafarer has none. Reports: The new Standby Crew Report lists seafarers who signed off your vessels and can return: their last vessel and sign-off date, the Available from date from the seafarer's profile, and the next planned vessel. Crew Report: Select one or more vessels in the Vessel filter. With a period set, the report shows crew of the selected vessels for that period, or of all your fleet vessels if no vessel is selected; without a period, it shows crew currently on board the selected vessels. Select at least a vessel or a period to build the report. The table has a new sortable Vessel column, and the built-in default export template includes it and lists every vessel of the report in its header. Vessel Requirements: Configure payroll and invoice payments by rank in Vessel Requirements Templates and on the vessel's Requirements page. Use the new Payments, Payroll Rates, and Invoice Rates tabs to choose payment periods and enter optional rates by rank with totals. Applying a template copies its payments to the vessel together with its ranks and documents. Company Matrix lets you select ranks independently of document requirements. See more…

Payments: Removed the old Payment Templates module and its contract actions. Payment settings are managed in Vessel Requirements Templates and on the vessel's Requirements page, and the payment catalog is named Payment Types.
Exports: Built-in templates are now available for seafarer profiles and lists, contracts, invoices, payslips, reports, and statistics, without uploading a custom template. Choose Default built-in template to use the included template.
Company Settings: Upload a company logo for the sign-in page. The logo is also available in supported export templates.
Crew Change Report: Switch between On signers, Off signers, and Continuing Crew; filter by multiple vessels or Ship Manager. Updated the Excel export and added separate row numbering for each crew group.
Vessels and Checklists: Set a vessel's default checklist directly or through a Vessel Requirements Template. It is assigned to new planning and sign-on records; existing checklist progress is preserved.
Planning: Improved early-reliever selection and preserved the selected replacement through sign-on. Changing a vessel now warns before clearing replacement assignments for the selected seafarers.
CV Import: Improved recognition of rank names and abbreviations, corrected vessel IMO and engine-model handling, and fixed the vessel selection dropdown.
Invoices and Contracts: Fixed port search while editing contracts, seafarer names in invoice exports, and invoice fee grouping by name and rate.
Data Updates: Fixed stale data after invoice and payslip changes and after seafarers update their details, documents, or sea services through the Online Application Form.
User Interface: Improved filter controls, payment-table readability, and document requirement labels.
Seafarer Profile: Added Telegram and Teams fields to the seafarer's contacts. The profile summary card and the detail panel in the Seafarers list show them with quick-action links: Telegram opens the chat in Telegram, and Teams opens a chat in Microsoft Teams. See more…

Online Application Form: Added optional Telegram and Teams fields to the Contacts step, after WhatsApp. Seafarers can enter a Telegram username or phone number and a Microsoft Teams account, usually an e-mail. The values are saved to the seafarer's profile and shown in the profile's contacts in the CRM.

Seafarers: new "Manager in Charge" field — assign a responsible crew manager to a seafarer. Available on the profile, as a filter and as an optional column in the seafarers list.
Countries: the Nationalities and Flags reference books are merged into a single Countries book, which is now maintained by Crewvector and no longer appears in the Catalogs menu. Added a "European Union" entry so a vacancy can require EU citizens.
CV import: nationality, document issue country and vessel flag are now matched against the unified Countries book by name or ISO code.
Vacancies: improved candidate matching — weekly and daily wage rates and vacancies without a salary cap are compared correctly, and a single problematic candidate no longer breaks the whole candidates list.
Vacancies: the join date is now treated as the last active day everywhere — in the vacancy list, the status filter and the statistics report.
