Standby crew report

This report lists seafarers who signed off your vessels and can return for the next contract. For each seafarer, it shows where and when they last worked, when they are available again, and whether they are already planned for the next vessel. Open it from Reports → Standby crew report.

Use the report to keep track of your standby crew. You can also export it and send it to a ship owner or manager, for example every week or every month.

Who is in the report

The report has one row for each seafarer.

Last service. The report uses the seafarer's last completed sea service on one of your vessels, which is the one with the latest sign-off date. Seafarers who have no completed sea service on your vessels are not shown.
Seafarers on board. Seafarers who are on board any vessel now are not shown.
Planned and joining seafarers. Seafarers with a Planning or Joining sea service are shown. The Next Vessel columns show their next assignment.
Deleted seafarers are not shown.

Filters

Vessel - One or more of your vessels. The report shows seafarers whose last service was on a selected vessel;
Ship manager - One or more ship managers. The report shows seafarers whose last vessel has a selected manager;
Sign-off period - The start date, the end date, or both. The report shows seafarers who signed off their last vessel within this period. Both dates are included;

All filters apply to the last service only. For example, a seafarer who worked on vessel A and then on vessel B is not shown when you filter by vessel A.

If you select both vessels and managers, the report shows only seafarers who match both filters. If you set no filters, the report shows the standby crew of your whole company (all your vessels).

Report table

Rank - Rank of the last service;
Full Name - Seafarer's name;
Nationality - Seafarer's nationality;
Last Vessel - Vessel of the last service;
Sign On / Sign Off - Sign-on and sign-off dates of the last service;
Sign-off reason - Reason for the sign-off from the last service;
Readiness - The Available from date in the seafarer's profile, which is the date when the seafarer is ready to return;
Next Vessel - Vessel of the next Planning or Joining sea service. The status of that sea service shows as a badge;
Next Sign On - Planned sign-on date of the next sea service;
Remarks - The latest note in the seafarer's profile with a date within the Sign-off period. If you do not set the period, the latest note shows;

You can sort the table by name, rank, nationality, last vessel, last sign-on and sign-off dates, readiness, next vessel, and next sign-on date. By default, rows are sorted by rank.

Keeping the report up to date

The report is only as accurate as the data in the seafarer profiles. After a seafarer signs off:

Contact the seafarer and ask when they can return.
Set the Available from date in the seafarer's profile. The report shows this date in the Readiness column.
When the seafarer agrees to return, plan them for the next vessel in Planning. The report then shows the vessel in the Next Vessel column.

Export

Click Export, select Default built-in template or your own template of the Standby crew report category, and choose whether to export as PDF. With the built-in template and PDF turned off, the report is exported to Excel. See Choosing an export template.

The built-in Excel template contains:

your company logo, the title Standby Crew Report, and the report date;
the sign-off period, if you set it, and the selected vessels and managers;
the table with the columns #, Rank, Full Name, Nationality, Last Vessel, Sign On, Sign Off, Sign-off reason, Readiness, Next Vessel, Next Sign On, and Remarks. Dates have the format dd.MM.yyyy.

Attributes

Use these attributes when you create your own template (see Templates). For example, [[Items.LastVesselName]] inserts the name of the last vessel.
