Pre-Joining List

This report lists the seafarers who are assigned to your vessels and are not on board yet. For each assignment, it shows the vessel, the status, the planned sign-on date, the manager in charge, and the latest note about the seafarer. Open it from Reports → Pre-Joining List.

Use the report to follow up the crew that is getting ready to join, for example to check who still needs a call before the sign-on date.

Who is in the report

The report has one row for each assignment.

  • Status. The report shows assignments with the status Planned or Joining. See Planning stages. Seafarers on board and completed sea services are not shown.
  • Your company. The report shows only assignments made by your company in Planning.
  • Two assignments. A seafarer who has two assignments, for example one Planned and one Joining, has two rows.
  • Deleted seafarers are not shown.

Filters

  • Vessel - One or more of your vessels;
  • Status - Planned, Joining, or both;
  • Manager - One or more managers in charge of the assignment;
  • Rank - One or more ranks of the assignment.

The filters work together: the report shows only the rows that match all the filters that you set. If you set no filters, the report shows all planned and joining seafarers of your company. The table refreshes when you change a filter.

Report table

  • Full name - Seafarer's name. Click it to open the seafarer's profile;
  • Rank - Rank of the assignment;
  • Nationality - Seafarer's nationality;
  • Manager - Manager in charge of the assignment;
  • Vessel - Vessel of the assignment;
  • Status - Planned or Joining, shown as a badge;
  • Documents - The Docs badge shows how many required documents of the seafarer are missing, expired, or expiring for the rank and the vessel of the assignment. Click it to see the list of documents. The cell is empty when there are no problem documents;
  • Checklist - The progress of the assignment's checklist: completed items of all items. The badge is green when all items are completed. Click it to open the checklist. The cell is empty when no checklist is assigned;
  • Sign on - Planned sign-on date;
  • Last note - The latest note in the seafarer's profile dated on or after the day when the assignment was created. Older notes are not shown;
  • ⋮ - The row menu. See Row actions.

You can sort the table by all columns except Documents, Checklist, and Last note. By default, rows are sorted by vessel, then by rank.

Checklist

Click the badge in the Checklist column to open the checklist. Select the completed items and click Save. The report then shows the new progress.

You can change the checklist only with the Planning permission. Without it, the checklist opens for viewing only.

Row actions

Click ⋮ at the end of a row to open the row menu:

  • Add note - Adds a note to the seafarer's profile. The Last note column then shows this note;
  • Assign checklist - Assigns a checklist to the assignment. This action shows only when the assignment has no checklist.

Add note is available to users with the Edit seafarer profiles permission. Assign checklist is available to users with the Planning permission.

After you complete an action, the report refreshes. The filters and the sort order stay the same.

Export

Click Export, select Default built-in template or your own template of the Pre-Joining List category, and choose whether to export as PDF. With the built-in template and PDF turned off, the report is exported to Excel. See Choosing an export template.

The export uses the same filters and the same sort order as the table. The export does not include the Documents and Checklist columns.

The built-in Excel template contains:

  • your company logo, the title Pre-Joining List, and the report date;
  • the selected vessels, statuses, managers, and ranks, or All for a filter that is not set;
  • the table with the columns #, Full Name, Rank, Nationality, Manager, Vessel, Status, Sign On, and Last note. Dates have the format dd.MM.yyyy.
